Where do Shopify subscription orders appear?
Updated · SMART Subscriptions (E-TRADE PARTNER)
On pay as you go, each successful renewal creates a new Shopify order; the original order is never rewritten. On pay in advance, one order covers the prepaid period and shows as Scheduled until each delivery date. Fulfill both from the normal Shopify Orders page, and use Subscriptions in SMART Subscriptions for the contract itself.
SMART Subscriptions does this with plans, a product-page widget, and a native customer portal.

A support agent opens last month’s order looking for this month’s refill and finds nothing new on that page. That is expected. Renewals are not added onto the first order. On pay as you go, every successful charge becomes its own order in Shopify, ready for pick, pack, and ship like any other sale.
Why separate renewal orders matter
- Warehouse and 3PL workflows already know how to fulfill Shopify Orders.
- Refunds, returns, and tracking stay scoped to one delivery cycle.
- Accounting can match each charge to one order instead of a living document.
- Skipped or failed cycles do not corrupt the history of a successful first purchase.
- Contract state (active, paused, cancelled, expired) lives on the subscription, not on a single order row.
What Shopify shows versus what SMART shows
Shopify owns the order list and fulfillment tools. SMART owns the contract list, retry settings, emails, and the MRR view. SMART also starts each renewal charge on schedule, and Shopify then creates the order. You need both: Orders for shipping, Subscriptions for the ongoing agreement.
| Question | Look here | What you will see |
|---|---|---|
| What do I fulfill today? | Shopify Orders | Pay as you go: a new order per successful charge. Pay in advance: the prepaid order turns Unfulfilled on each delivery date (filter by Scheduled to see what is coming) |
| Is the subscription still active? | Subscriptions in SMART | Contract status tabs: All, Active, Paused, Cancelled, Expired, Failed |
| What is recurring revenue? | Home in SMART | MRR and active subscriptions |
| Did a renewal charge fail? | Shopify Orders + the contract in Subscriptions | No new order for that cycle. The contract stays Active while retries run, then is paused, cancelled, or the order is skipped, per Settings. SMART never marks contracts Failed. |
| Can the customer skip next cycle? | Customer portal / admin contract (pay as you go) | Skipped upcoming orders; past orders untouched |
| Which contract is this? | Subscription link in Shopify admin | Opens that contract in SMART Subscriptions |
Setup steps so your team finds renewals correctly
- Install SMART Subscriptions and complete a plan under Plans with the Subscriptions Widget live. Use how to set up product subscriptions if you are still launching.
- Place a test subscription checkout so the first order appears in Shopify Orders and a contract appears under Subscriptions.
- Open the contract in Subscriptions. It shows status, upcoming orders (with Skipped badges), and the orders the contract created.
- When a pay-as-you-go renewal bills, refresh Shopify Orders and confirm a new order was created instead of edits on the original order. For pay in advance, filter Orders by Scheduled to see the next deliveries on the prepaid order.
- Train fulfillment to work each new renewal order, and each prepaid order when it turns Unfulfilled on its delivery date.
- Train support to use Subscriptions for pause, resume, cancel, skip, product and quantity edits, and status (one at a time, or bulk pause, resume, or cancel from the list), and Orders for shipping and refunds. Editing or refunding an order in Shopify does not change the subscription.
- Watch Home for MRR and active subscriptions so commercial reporting is not limited to one-time order exports.
Common mistake: expecting the original order to grow
SMART and Shopify do not rewrite the original checkout order on each renewal. If someone is “waiting for line items to appear on order #1001,” they are looking in the wrong place. Search Orders by customer or date for the new renewal order (or the Scheduled prepaid order), and open the contract under Subscriptions for the full picture.
Worked example: first order, skip, then renewal
A customer buys Deliver every 4 weeks protein powder on Monday, pay as you go. Order #1840 is fulfilled that week. Before the next cycle they skip once from the portal. The following cycle bills successfully.
- Order #1840 stays as the first purchase only. It is not updated with the later refill.
- The skipped cycle creates no order and no charge.
- The next successful bill creates order #1912 (example), a separate Shopify order to fulfill.
- The contract under Subscriptions lists both orders.
- If a later charge fails, dunning settings retry it according to Settings; a success after retry still creates a new order.
The same customer on pay in advance
With Delivery every 4 weeks and Payment every 12 weeks, the first checkout creates one order that covers three deliveries. It shows as Scheduled, turns Unfulfilled on each delivery date, then goes back to Scheduled until the next one. The next charge, 12 weeks later, creates a new order.
That pattern is the mental model to teach every new hire on subscriptions ops.
Practical tips for ops and support
- Bookmark both Shopify Orders and the SMART Subscriptions list; they answer different questions.
- Check the contract status before assuming a missing renewal is a Shopify outage. A failed charge does not move a SMART contract to Failed; after retries it is paused, cancelled, or the order is skipped.
- When customers ask “where is my next box?”, check the contract's upcoming orders and whether one was skipped, not only the last fulfilled order.
- Activate the Billing successful email under Emails if you want customers notified when a renewal charge goes through. See subscription email notifications.
- Before launch, run the path in how to test Shopify subscriptions so your team sees a second order appear for real.

Selling plans create the recurring agreement; orders are the shipments and charges along the way. For the platform model, read how Shopify subscriptions work. For admin edits that change future cycles without rewriting past orders, see manage subscription contracts.
Frequently asked questions
›Does a renewal add line items to the original order?
No. Each successful pay-as-you-go renewal creates a new Shopify order. The original order is not rewritten.
›Where should my warehouse look for subscription fulfillments?
In the normal Shopify Orders list, the same place as one-time orders. Pay-as-you-go renewals are new orders. Prepaid orders show as Scheduled and turn Unfulfilled on each delivery date.
›Where is the subscription lifecycle if orders are separate?
In SMART under Subscriptions. The contract shows status, upcoming orders, and the orders it created. Home shows MRR and active subscriptions.
›What if a renewal payment fails?
No order is created for a failed attempt. SMART retries per Settings, then pauses, cancels, or skips the order. See failed payments and dunning.
›Can customers see renewal orders in their account?
Customers see orders through Shopify customer accounts like other purchases, and they manage the subscription itself through the customer portal.
